Position Summary:
Our client is looking for an Administrative Assistant to report to the Business Manager within a school setting. You will support the School Board by assisting with routine requests and matters, as well as direct and review the work of other support personnel under the Business Manager.
Essential Responsibilities:
• Screen calls, greet visitors, and respond to parent requests
• Schedule and coordinate the Business Manager’s calendar, appointments, travel, and conference arrangements
• Set priorities, define tasks, schedule and coordinate activities and functions, develop procedures and complete assignments
• Prepare and distribute notices, agendas and supplementary materials for meetings
• Schedule facilities and secure audio-visual equipment for the Business Manager
• Prepare notes and follow-up actions from meetings
• Perform record keeping and general clerical functions
• Maintain confidentiality of files, records, and student information
• Prepare requisitions, monitor receipt of materials and invoices, process mileage claims, oversee financial records for the Business Manager
• Responsible for all accounts payables and receivables
• Act as First Approver for requisitions
• Contact Vendors for any additional information needed for documentation
• Assist Business Manager with all documentation needed for annual audit
• Communicate effectively, both verbally and in writing, with the board, administration, faculty, staff, outside agencies, the public, and news media in a manner which demonstrates tact and diplomacy
• Lead and direct work of other clerical and office personnel when directed by the Superintendent
• Create and process letters, newsletters, e-mails, correspondence and reports for the Business Manager
• Provide communication information through TxEIS data management system
• Respond to inquiries from a wide variety of internal and external parties
Skills/Knowledge:
• Exercise independent thinking and good judgment
• Proficient in standard office equipment and Microsoft Office Suite
• Mathematical computational skills
• Proficient in general office management and procedures, possess excellent interpersonal, organizational and communication skills
• Knowledge of correct English grammar, punctuation, spelling, and proofreading
• Knowledge of general finance and accounting principles
• Knowledge of the Texas Education Code and other related laws
• Be self-motivated and able to prioritize and multi-task
