Position Summary:
Our client is searching for an Administrative Assistant to provide administrative support for the Enterprise Engineering department. The responsibilities include creating job packets, monitoring equipment, booking travel, and other administrative duties. A successful applicant must possess strong organizational skills, prioritization skills, and have the ability to work well with other team members. This is a hybrid and temporary position. The position will last for 90 days and require you to work in the office for two days and at home for the remaining three days of the week.
As the Administrative Assistant, you will:
• Track closed CRM notices for expected block hours contracts and/or job packets
• Add project opportunities to the appropriate tracking sheet in MS Teams and collect the necessary documentation to process contracts & equipment
• Review & verify job packet information, reach out to appropriate contracts for project resources, and supply the project team with a complete job packet in addition to any relevant information provided by the account manager
• Review, update, and add necessary notes in Field Point and Great Plains to match job packet details
• Generate customer project folder in MS Teams for project management, engineers, and service to save all necessary documents to customer folders
• Produce ETA for all equipment as it relates to open EE projects and update the project management team
• Create Delivery & Acceptance form for equipment delivery to customer site and follow up for signatures from the engineers to save in the appropriate project teams folder
• Create Sign Off at project completion
• Save and relay low NPS scores to team members and EE executives in addition to creating a work order for customer satisfaction
• Assist with taking meeting minutes and action items for various projects/internal team meetings
• Assist Finance and Accounting Manager with equipment procurement, invoicing, EOM backlog, CRM to • GP variance invoices, and time posting as needed
• Assist with training back up for EE-UC equipment/phones
• Update Resource Calendar with project schedule, vacation time, customer travel scheduled, and various items as needed
• Research, book, and coordinate project/training related travel requests as approved by business director and executives
• Order breakfast/lunch for department and management meetings
• Validate time entry for all engineers, PM, etc. in Field Point weekly
• Entering customer service tickets for Project Managers
• Other administrative tasks as required by management
Skills/Knowledge:
• Must have strong organizational and prioritization skills
• Demonstrate strong problem-solving and analytical skills
• Self-starter, must have the ability to coordinate/work well in a fast-paced team environment
• Proficient in MS Word/Excel/Outlook/Teams
