Job Description
We are looking for a detail-oriented and well-organized Compliance Coordinator to manage the background check process, vendors, clearance, and escalations for all clients, as well as further support responsibilities for our largest client.
The Compliance Coordinator will work closely with all Operations Departments (Recruiting, Performance Management, & Compliance) to ensure all background check process are being completed accurately, consistently, and in compliance with all state and federal employment laws. The Compliance Lead will also be responsible for answering candidate and employee questions regarding background check vendor processes, pre-adverse action, and any matter that falls under the compliance department.
To be successful, The Compliance Lead should have a good working knowledge of labor legislation and HR practices and must be confident in their responsibility for candidate pre-employment screenings including, criminal background screenings, drug testing, and education/employment verifications.
Job Responsibilities
Always follows the established Compliance Department Processes.
Engage in proactive communication with candidates and team members when obtaining all required documentation needed for background checks.
Develop and maintain strong working relationships with background check and drug screening vendors.
Ensure a time-management system that will allow for candidate follow up, documentation, and internal assistance.
Updates and maintains employee records and status.
Addresses all matters and discrepancies that arise throughout the background screening process with vendors, account managers, recruiters, and/or leadership in a timely, efficient and clear manner.
Performs record audits to ensure that all required employee documentation is collected and maintained in compliance with existing regulations.
Collect and analyze information throughout screening process, such as District County Clerk Office reports, third-party reports, and Everify.
Manage inbound/outbound calls for Employment, Education, and Licensing Verifications.
Maintain effective record keeping for all calls handled.
Ensure all verifications sent out are followed up on in a timely manner.
Communicate effectively and efficiently to all parties involved in obtaining or sending verification information.
Reviewing and verifying the accuracy of documentation.
Regularly ensure that all internal processes are in compliance with existing regulations, regularly stays informed and ahead of changes and how to apply them to our processes.
Strategize with Head of Operations to find ways to optimize existing processes.
Assist all departments for any matters that pertain to the Compliance department.
Support and promote our culture of teamwork and integrity.
Occasionally assist with general office matters, such as inventory and event planning (1-2 times per year.)

Required Qualifications
The ideal candidate will have the following skills:
High School Diploma
1-2 years of heavy office administration experience
Strong navigational computer skills, including Microsoft Outlook and web applications, such as Sharepoint, Trello, or other cloud-based organizational systems.
Demonstrated experience requiring analysis, prioritization, and attention to detail.
Preferred Qualifications
Associates Degree or higher
2+ years’ experience working as an HR Assistant, Coordinator, Office Administrator, or similar role
Experience managing and maintaining sensitive data
Previous leadership experience
